Wellbeing pulse and peer nominations

Optional pastoral check-ins and pupil nominations — not a behaviour record and not a mental-health file.

Who it is for: Pastoral leads, DPOs, DSLs
How to access it: Public. Both features are school flags. Leave them off if they are not in the school DPIA.

This pack describes how Five Wells Education designs and operates the platform so schools can complete their own due diligence. It is not legal advice. The school remains the data controller for pupil and staff data it places in the product. A solicitor or DPO should review processing before go-live.

Wellbeing pulse

Pupils may be asked how each well felt that week. Authorised staff can see a class heatmap. It is a pastoral scan, not a clinical assessment and not an attendance or behaviour score.

Do not copy pulse answers into a safeguarding log unless a separate concern has been raised through the school’s normal DSL process.
If a pupil is distressed, speak to them; do not rely on the heatmap alone.

Peer nominations

Pupils may nominate a classmate for a well. Staff review nominations. This is recognition, not anonymous reporting of harm.

Turn the feature off if the school cannot resource fair review.
Do not use nominations as evidence in a disciplinary process without following school behaviour policy.

Retention

These records stay in the tenant while the school uses the module. They are included in the school’s own retention decisions and in exports only where the product offers that data. They are not a replacement for CPOMS or equivalent.
