Safeguarding — what this product is not

Five Wells is not a safeguarding case system. How staff should treat credits, IEPs, photos, and the pupil helper.

Who it is for: DSLs, headteachers, SENCOs
How to access it: Public. Attach to staff induction. The school’s KCSIE policy, filtering, and CPOMS (or equivalent) remain the safeguarding record.

This pack describes how Five Wells Education designs and operates the platform so schools can complete their own due diligence. It is not legal advice. The school remains the data controller for pupil and staff data it places in the product. A solicitor or DPO should review processing before go-live.

Use your safeguarding system for concerns

Do not record allegations, Section 47 notes, or child-protection casework in credit notes, Journey journals, IEP free text, or the pupil Well helper. Those tools are for recognition, curriculum-style Journey activities, and SEND educational targets.

If a pupil types something worrying

Well helper: distress phrases skip AI and tell the pupil to talk to a trusted adult. That is not a DSL referral. Follow the school’s procedure if you become aware of a concern.
Journey or pulse: speak to the pupil and log in the school’s safeguarding system if the threshold is met.

Photos

Making-proof photos should be of work where possible. If a photo shows a safeguarding concern, treat it as you would any image on a school device — do not leave it only in Five Wells as the official record.

Filtering and monitoring

Five Wells does not filter the school network or monitor other apps on a device. Enabling the Well helper does not satisfy KCSIE filtering and monitoring duties.
