Pupil Well helper — online safety
Optional labelled AI helper for pupils: what it is for, what it must not do, and KCSIE-style limits.

- DSL/safeguarding leads, DPOs, computing leads
- How to access it
- Public. Off by default. Enable only from School settings → Security after the DPO and DSL agree. This is not filtering and monitoring of school devices.
This pack describes how Five Wells Education designs and operates the platform so schools can complete their own due diligence. It is not legal advice. The school remains the data controller for pupil and staff data it places in the product. A solicitor or DPO should review processing before go-live.
What it is
When a school administrator turns on “Allow the pupil Well helper”, pupils see a labelled computer helper on their home hub. Replies are age-aware, short, and rate-limited. Staff preview is read-only so a teacher can see the panel without sending a pupil’s question.
What it is not
- Not a counsellor, therapist, or trusted adult.
- Not a consumer ChatGPT login and not an open-ended homework writer.
- Not the school’s filtering and monitoring system. Devices and networks remain the school’s KCSIE duty.
- Not a place to report safeguarding. Distress wording skips the model and tells the pupil to speak to a trusted adult now.
Safeguards in the product
- On-screen disclaimer that it is AI, can be wrong, and that a person is the right contact if the pupil is worried.
- Daily cap and short prompt length.
- Prompts are not kept as a chat history for staff to browse.
- Questions about harm, abuse, passwords, or home address do not go to Google Gemini.
What the school should do
- Tell parents in the school privacy notice if the helper is on.
- Teach pupils (and staff) that they must not type other children’s names, home addresses, or secrets.
- Keep the toggle off if the DPO cannot accept Google as a sub-processor for this use.
- Use computing / RSHE curriculum for AI literacy; the helper is a practice tool, not the whole curriculum.
