Exit, export, and deletion
How a school takes its data out at the end of a licence and what Five Wells deletes.

This pack describes how Five Wells Education designs and operates the platform so schools can complete their own due diligence. It is not legal advice. The school remains the data controller for pupil and staff data it places in the product. A solicitor or DPO should review processing before go-live.
During the subscription
- School administrators can download school-scoped CSVs from Data export (allowlisted columns; no passwords or keys).
- Certificates and some SEND/Journey files can be downloaded from the product by authorised roles.
- Those copies become school records and follow school retention.
End of contract
Export what you need, then ask Five Wells to delete the tenant. Confirm the legal school name and that you have finished exports. Five Wells will not keep a live tenant “for interest” after a confirmed offboard. Infrastructure backups expire on sub-processor cycles.
What does not come back from vendors automatically
- Google Gemini does not return a pupil database; prompts were staff- or helper-initiated and are not a second MIS.
- Wonde remains the school’s MIS relationship; disconnect access in Wonde as well as in Five Wells.
- Email already sent via Resend is on school-controlled inboxes.
Portability
CSV exports are the practical portability format. Five Wells is not required to output a competitor’s proprietary file. SEND review packs and PDFs the school generated remain the school’s documents.
